JOB ONE DEPARTMENTAL PROMOTIONAL ONLY VACANCY.
Under occasional supervision, performs assigned work in coordinating and participating in the provision of effective and efficient administrative, secretarial, bookkeeping and clerical functions of the Department.
Work involves the general management of assigned special projects; processing information, monies and documents; and coordination of enforcement requirements with outside agencies.
Reports to the Assistant Director.
EXAMPLE OF DUTIES ESSENTIAL JOB FUNCTIONS Coordinates and participates in the provision of administrative, secretarial, bookkeeping and clerical support to the staff of the assigned department.
Manages special projects and activities of the department as assigned.
Assists in establishing office policies and procedures; evaluates office operations and makes recommendations for change to enhance efficiency and productivity.
May supervise and review the work of other clerical personnel for accuracy and completeness; offers training, advice and assistance as needed; may coordinate the selection, orientation and evaluation of assigned personnel.
Prepares, types, processes, copies, files, scans, indexes and/or distributes various documents, which may include permits, routine and confidential reports, records, work orders, public records requests, purchase orders, personnel action forms, accident and injury reports, memos, correspondence, etc.
Assist department in coordination with Federal, State and Parish agencies as well as utility companies.
Procures department supplies and equipment as approved.
Monitors budget expenditures and processes accounts payable; prepares related reports; may assist in preparing the department’s annual budget.
Serves as Secretary to the Board of Zoning Adjustments; schedules meetings; prepares legal notices, correspondence, and meeting documents; records, transcribes, and distributes meeting minutes accordingly; maintains records of the organization(s).
Oversees the proper retention and disposal of department files; creates forms and reports for office use.
May coordinate the management of the department’s computer record-keeping systems with Information Services personnel.
Performs routine to complex administrative and secretarial work, which may include scheduling meetings and appointments and maintaining calendars, making travel arrangements, composing and/or preparing correspondence for supervisor’s signature, establishing and maintaining confidential and miscellaneous files, reviewing and routing mail and e-mail, researching and compiling data for reports, taking and transcribing dictation, etc.
Performs various clerical duties as required, including but not limited to entering and retrieving computer data, copying documents, filing / retrieving files, sending and receiving faxes, assembling and collating documents, processing daily mail, etc.
Answers the telephone; provides information as requested; screens calls and/or forwards calls to appropriate staff person; communicates with field personnel via two-way radio.
Takes messages as needed.
Receives and responds to inquiries, requests for assistance and/or complaints from City employees, outside agencies, and the public.
Receives and/or reviews various forms, applications, reports, requests, correspondence, policies, directories, manuals, reference materials, or other documentation; completes, processes, forwards, or retains as appropriate.
Prepares and/or processes a variety of documentation associated with department operations, per established procedures and within designated timeframes; reviews various documentation for accuracy and completeness; distributes/issues various documentation.
Refers to memorandums from Director, policy and procedure manuals, computer manuals, codes / laws / regulations, publications and reference texts, etc.
Operates a variety of office equipment and machinery such as copy machine, fax machine, desktop computer, printer, etc.
Uses a variety of tools such as standard office tools, etc.

; and a variety of computer software such as word processing, spreadsheet, database, accounting, or other programs including Munis.
Interacts and communicates with various groups and individuals such as the immediate supervisor and department head, other City department heads and employees, co-workers, various outside agencies and professionals, vendors, and the general publicAttends training, meetings, workshops, etc.
